Returns

All returns and replacements are subject to the following policy and conditions.

Some items are returnable through IP Phone Warehouse and some items are not.

Items from the following brands are not returnable to IP Phone Warehouse due to policies and restrictions: Aastra, ACTi, Avaya, Axis, Bogen, Bosch, CyberData, Epygi, GAI-Tronics, GeoVision, Jabra, Plantronics, Quintum, Samsung, Spectralink, Toshiba, UT Starcom, Viking Electronics, VivoTek, and Yealink. For claims on items from brands in this list, please contact the manufacturer directly, as the manufacturer facilitates all warranty claims. Please contact the manufacturer for warranty information. If you need help finding contact information for the manufacturer, please contact us and we would be glad to help.

Items from other brands not in this list may be subject to similar policies and restrictions; the standard return policy does not apply to these items.

Video conferencing equipment, headsets, power supplies, batteries, and refurbished items are returnable for replacement or repair during their warranty period; these items cannot be returned for credit. Refurbished items are not returnable unless proven defective, and can only be exchanged for the same item.

Some items may come with a money back guarantee. If one of these items needs to be returned, IP Phone Warehouse is not responsible for this return. Please contact the manufacturer directly in these circumstances.

Bulk orders, special order items, and items that received discounted, bulk, or promotional pricing are not returnable under any circumstances. Software and license keys are not returnable under any circumstances.

Unless contracted for installation or support services, IP Phone Warehouse will not assist in the installation or configuration of items under any circumstances. IP Phone Warehouse may provide firmware or software updates and manuals, subject to availability.

Item Condition

Items can be returned to IP Phone Warehouse only if they are unopened, manufacturer-sealed and in brand-new condition. No opened or used items can be returned for credit.

If the manufacturer determines that an opened item is defective, the item may be exchanged, depending on the manufacturer’s returns and exchange policies.

Returns are subject to shipping and restocking fees, as outlined below.

Restocking

The customer is responsible for shipping all returned items back to IP Phone Warehouse. All returns are subject to a restocking fee of 10-30% of the original sale price. IP Phone Warehouse is not responsible for any shipping charges for returns.

The restocking fee covers credit card fees, processing, order handling, and other expenses. The restocking fee is variable, and depends on the product type, manufacturer, and other conditions.

No returns past 30 days from purchase date will be considered for credit.

IP Phone Warehouse reserves all other rights.

RMA Form

To return an item that is returnable, please fill out our online RMA Form before shipping the item back to IP Phone Warehouse. Items received without an RMA number will be refused by our warehouse. Following the RMA procedure will expedite the returns process and ensure proper action or credit upon processing. After completing the online RMA form, for items that are returnable, you may be issued an RMA (Return Merchandise Authorization) code that will be used for your return.

To receive credit, all returns must be received in original condition and packed in the carton as if from the manufacturer: this includes all foam padding or bubble wrap, all manuals, blank warranty cards, accessories, and/or other documentation included with the original shipment. RMA approval is contingent upon receipt of 100% complete items, among other things.

The customer is responsible for shipping charges to IP Phone Warehouse. Items can be returned if within the applicable amount of time after purchase. After this time, the item is considered acceptable by customer and cannot be returned.

Note: Software is not returnable under any circumstances.

For further expedition, when requesting your RMA, please have the following information handy:

  1. Customer Number
  2. Invoice Number
  3. Serial Number
  4. Reason for Return
  5. Action Requested (Replacement/Return/Repair/Credit)
  6. Whether or not the box has been opened or if it is still factory sealed
